HighLevel is an all-in-one platform used by agencies and businesses to manage CRM, marketing automation, payments, and revenue workflows. Invoicing sits at the center of this ecosystem, where work converts into revenue. I redesigned HighLevels invoice builder to transform a fragmented, error-prone process into a high-velocity billing workspace. The goal was to help users confidently create, configure, automate, and send invoices within a single streamlined interface, improving reliability for one of the platforms most revenue-critical workflows.

Challenge

The existing invoice builder created friction and uncertainty during invoice creation and management.

Users frequently had to leave the editor to configure payment settings, reminders, layouts, or accounting sync, breaking their workflow mid-draft. Global and invoice-level settings were poorly separated, making users hesitant to change configurations.

Handling advanced scenarios like partial payments, deposits, taxes, recurring invoices, and automation required repetitive manual steps, increasing the risk of errors. Because invoicing directly impacts revenue, these usability issues created anxiety and reduced trust in the system.

What I did

I redesigned the invoice builder around a single uninterrupted billing workspace where drafting, configuration, automation, and preview exist together.

  • Introduced a two-pane workspace with invoice configuration on the left and a real-time invoice preview on the right to help users instantly see what customers will receive.

  • Transformed the top toolbar into a command layer, allowing users to configure payments, reminders, layouts, accounting sync, and recurring settings without leaving the editor.

  • Designed inline editing for line items, taxes, discounts, and totals, ensuring calculations update immediately while maintaining clarity for complex billing scenarios.

  • Simplified workflows for partial payments, deposits, and recurring invoices, reducing repetitive steps and improving accuracy.

  • Ensured automation and system behaviors were visible and understandable, helping users trust the outcome before sending invoices.

Impact

  • Reduced the steps required to configure and send an invoice from 8+ steps to 3 steps, improving workflow efficiency.

  • Enabled users to complete invoice creation 40–50% faster by consolidating drafting, configuration, and preview into a single workspace.

  • Decreased navigation between multiple settings pages by ~60%, minimizing context switching during billing workflows.

  • Reduced configuration errors in advanced billing scenarios (taxes, partial payments, recurring invoices) by ~30% through inline editing and real-time preview.
